About our event bar management

Event bar management means one team takes responsibility for the entire bar: planning, staffing, equipment, stock and service, and coordination with everyone else involved. We manage bars for weddings, corporate events, conferences, product launches, destination weddings and large private celebrations in Delhi and beyond.

For a multi-function wedding or a 500-guest launch, the bar involves dozens of decisions: how many counters, how many staff, how much of each drink, where the ice comes from and who signs off on stock at the end of the night. We make those decisions with you, put them in writing and run the bar to plan.

Planning by guest count

The bar plan starts with numbers: guests, duration, how many drink alcohol, and the menu. From those we work out staffing, counters, glassware, ice and quantities. For a large event, a written bar plan typically covers:

AreaWhat we plan
CountersNumber, size and placement so no queue builds
StaffBartenders, barbacks, captains and butlers by hour
MenuDrinks list sized to the crowd and the season
QuantitiesSpirits, wine, beer, mixers, ice, fruit and garnishes
TimelineSetup, service windows, peak moments and close
ResponsibilitiesWho supplies beverages, permits and venue services
Quantity estimation and stock control

Over-buying wastes money; under-buying ends the party early. As a starting point, many events plan on about two drinks per guest in the first hour and one per guest for each hour after, adjusted for the crowd and the menu. We turn that into a bottle-by-bottle list, track stock during service, and do a closing count with you or your representative so you know exactly what was used.

Coordination with your suppliers

We share the bar layout, power and space needs, timings and menu with your planner, caterer, decorator and venue manager. On the day, the bar manager stays in touch with them, so the bar opens on time, the welcome drinks are ready when guests arrive and the bar closes when the venue requires.

Compliance and responsible service

We do not sell alcohol. Depending on your state and venue, beverages are supplied by the host through licensed retail, by the venue, or by a licensed caterer, and some events need a temporary permit. We help you identify what applies and state it clearly in the plan. During service, our team serves responsibly and only to guests of legal drinking age.

Destination and outdoor events

For destination weddings and outdoor events, logistics matter more: transport of equipment, sourcing ice locally, power, shade and accommodation for the team. We plan these early and include them clearly in the quote.

Pricing

Bar management is included in Premium and Luxury packages and scales with the number of functions and counters. Every event is quoted to your guest count, menu and venue. Ask for a free, itemised quote.

Responsible service and licensing

State excise laws govern serving, transporting and storing alcohol, and rules differ between states and venues. Often the venue or a licensed caterer supplies and serves alcohol; your quotation will state clearly who supplies beverages. We guide you on the permissions to check, and we serve only where it is permitted, to guests of legal drinking age.

Questions

Event Bar Management: questions

See all questions

What does event bar management include?
A written bar plan, staffing by guest count, quantity estimates and a beverage shopping list, equipment, stock control during service, coordination with your other suppliers and a dedicated bar manager on the day.
How do you estimate drink quantities?
We start from guest count, duration, how many guests drink alcohol and the menu, then apply a planning guide of about two drinks per guest in the first hour and one per hour after, adjusted for your crowd. The result is a bottle-by-bottle list.
Can you work with our wedding planner?
Yes. We regularly coordinate with planners, caterers, decorators and venue managers. Many planners also partner with us directly. See our page for planners and venues.
Do you manage bars for destination weddings?
Yes. We plan transport, local ice sourcing, power and team accommodation early, and include them clearly in the quotation.
