Planning guide

Why book us for your wedding

An Indian wedding is not one event. It is a mehendi in the afternoon, a sangeet that runs late, a cocktail night with friends and a reception for several hundred guests, often across three or four days. Every function has a different mood, a different crowd and a different bar.

The bar is also where a wedding's small stresses tend to gather. Queues build when everyone arrives at once. Ice runs out on a warm evening. Elders want a fresh lime soda while friends want a proper cocktail. Someone has to keep an eye on stock, coordinate with the caterer and close the bar when the venue asks. None of that should be your job, or your family's.

Our wedding bar service in Delhi plans the bar for every function as one: the right counters in the right places, enough trained bartenders for your guest count, a menu that suits each evening and a bar captain who handles the details. You get one written quote, one point of contact and a bar your guests will remember for the right reasons.

Daytime functions usually lean towards mocktails and light, fruit-led drinks; evening functions carry the cocktail menu. Planning them together lets us reuse what works, such as a signature drink named for the couple that appears at the sangeet and returns at the reception.

How many bartenders a wedding needs

Wedding bars face a particular challenge: guests often arrive together and head to the bar at the same moment. As a typical planning guide for a full cocktail and mocktail service:

GuestsBar pointsBartendersSupport
100 to 1501 main bar31 barback, bar captain
150 to 250Main bar and mocktail counter4 to 52 barbacks, bar captain
250 to 400Two bars and a mocktail counter6 to 82 to 3 barbacks, captain, butlers
400 to 600Two or three bars and a mocktail counter8 to 113 to 4 barbacks, captain, butlers
600 and aboveMultiple bars across the venue12 or moreDedicated bar manager and butler team

Butlers carrying welcome drinks during the first hour take pressure off the bars and mean no guest waits long for a glass. For a detailed breakdown, read our guide on how many bartenders you need for your wedding.

The wedding menu

A good wedding menu is short and balanced: four to six cocktails, two or three proper mocktails and a welcome drink. Many couples choose:

  • A signature cocktail named for the couple, with a short story on the menu card.
  • A signature mocktail with the same name and colour, so every guest can join the toast.
  • Two or three classics that guests order confidently.
  • Seasonal touches: mango, litchi and jamun for summer weddings; citrus, spice and warm notes for winter.

For the bar itself, couples often choose an LED or luxury bar for the reception and a themed bar for the sangeet. A dedicated mocktail bar is one of the simplest ways to improve service at an Indian wedding, where many guests do not drink alcohol.

Wedding bar planning timeline

Two to three months before

  • Fix the functions that need a bar, and the guest count for each.
  • Ask your venue the licensing and bar questions below, and confirm outside bar staff are allowed.
  • Book your bar service; wedding season dates fill quickly.

Four to six weeks before

  • Finalise the menu for each function, including signature drinks and mocktails.
  • Agree bar placement, power and setup times with your decorator and venue.
  • Apply for any temporary permit your state or venue requires.

Two weeks before

  • Confirm final guest counts and how many guests drink alcohol.
  • Receive your shopping list and arrange beverages through the venue, caterer or licensed retail, as your local rules allow.
  • Approve menu cards and signage.

On the day

  • The bar team arrives ahead of guests to build, chill and prepare.
  • The bar captain checks in with your planner and venue manager.
  • Your family gets to enjoy the evening.
How many drinks per guest?

A common starting point is about two drinks per guest in the first hour and one per guest for each hour after that, adjusted for how much your crowd usually drinks.

Here is a worked example for a 200-guest reception running 5 hours, where about 120 guests drink alcohol:

ItemCalculationPlanning quantity
Alcoholic drinks120 guests × (2 + 4)About 720 drinks
Spirits and cocktails (60%)430 drinks at about 16 per 750 ml bottleAbout 27 bottles
Beer (25%)180 drinks at about 2 glasses per 650 ml bottleAbout 90 bottles
Wine (15%)110 glasses at about 5 per bottleAbout 22 bottles
Mocktails and soft drinks80 non-drinking guests × 3 to 4 drinksAbout 300 drinks
Ice0.5 to 1 kg per guest100 to 200 kg

Your crowd may drink more or less, the season matters, and a strong signature cocktail changes the mix. We turn your real numbers into a bottle-by-bottle list, and track stock on the night so you know exactly what was used.

Questions to ask your venue about licensing and the bar

Alcohol rules in India are set by each state, and they also depend on the venue. Before you book, ask your venue:

  1. Does the venue allow outside alcohol, and is there a corkage or bar charge?
  2. Does the venue hold its own bar licence, and must alcohol be bought through it?
  3. Is a temporary or occasional event permit needed for this venue and date, and who applies for it?
  4. Are outside bartenders and a mobile bar permitted?
  5. What time must bar service stop?
  6. Are there restrictions on glassware, open flame or dry ice?
  7. Is the date a dry day in the state?
  8. Where is the nearest power point and water access for the bar, and when can the bar team arrive?

Some states prohibit alcohol entirely, and dry days such as Republic Day, Independence Day and Gandhi Jayanti apply in most states. We guide you on what to check, and we serve only where it is permitted, to guests of legal drinking age. A full mocktail bar works beautifully on dry days and in venues where alcohol is not allowed.

Common wedding bar mistakes, and how to avoid them
  • One bar for everyone. A single counter for 300 guests creates a queue that never clears. Split demand across two or more bars and a separate mocktail counter.
  • Forgetting non-drinking guests. Soft drinks are not a menu. A proper mocktail counter, with drinks made as carefully as cocktails, makes elders and younger guests feel equally looked after.
  • Underestimating ice. Ice chills bottles as well as drinks, and it melts fast at outdoor and summer functions. Plan generously and store it in insulated boxes in the shade.
  • A menu that is too long. Ten cocktails slow every order. Four to six drinks, made well, keep the bar moving.
  • No one in charge. Without a bar captain, questions about stock, timing and the venue land on the family. A named point of contact solves this.
  • Leaving permits too late. Temporary event permits can take time. Ask your venue in the first planning conversation, not the week of the wedding.
  • Ignoring the bar's position in photographs. The bar often sits in the background of the sangeet and reception photos. Agree its styling with your decorator so it adds to the scene.
Placement, weather and flow
  • Place bars where guests gather, but not where queues block the stage, the buffet or the entrance.
  • Separate the mocktail counter from the main bar so families and younger guests are served quickly.
  • For outdoor functions, plan shade, a level base and cover in case of rain, and allow extra ice in summer.
  • Time the welcome drinks for the moment guests arrive, especially while the couple is busy with photographs.
Licensing and responsible service

State excise laws govern serving, transporting and storing alcohol, and rules differ between states and venues. Often the venue or a licensed caterer supplies and serves alcohol; your quotation will state clearly who supplies beverages. We guide you on the permissions to check, and we serve only where it is permitted, to guests of legal drinking age.

Questions

Weddings: questions

See all questions

Can you handle the bar for every function of our wedding?
Yes. Many families book us for the mehendi, sangeet, cocktail night and reception. We plan each function separately, with its own bar style, menu and staffing, and offer a combined quote so logistics and pricing stay simple.
How many bartenders do we need for a 300-guest wedding?
As a planning guide, a 300-guest reception with a full cocktail and mocktail menu needs two bar points and a mocktail counter, with six to eight bartenders, two to three barbacks and a bar captain. Butlers serving welcome drinks reduce the early rush. We confirm exact numbers in your quote.
Do you supply alcohol for the wedding?
No. We do not sell alcohol. Depending on your state and venue, the family buys it through licensed retail, or the venue or a licensed caterer supplies it. We provide everything else and share a quantity list so you buy the right amount.
Can we have a signature cocktail named after us?
Yes. A signature cocktail and matching mocktail named for the couple are among the most popular wedding requests. We develop the drinks around flavours you love and can print the story on the menu card.
Will you coordinate with our wedding planner and decorator?
Yes. We share the bar layout, power and space needs, timings and menu with your planner, decorator, caterer and venue, and the bar captain stays in touch with them on the day.
How far ahead should we book for a wedding?
As soon as your dates and venue are fixed, ideally two to three months ahead during the wedding season, and earlier for peak dates. Booking early also gives time for menu tastings, custom signage and any permits.
